Zapier
Send leads and tickets into thousands of apps, and ask your agent questions from any Zap.
Overview
Connect Zetra to Zapier and what your agent collects can flow into thousands of other apps, with no code. It works both ways: Zetra can start a Zap when something happens (for example a new lead), and any Zap can ask your agent a question and use the answer in the next step. This guide walks through one complete example: sending new leads to a Google Sheet.
What you can do
Push leads and tickets into your CRM, spreadsheet or inbox the moment your agent captures them.
Good to know
Zetra connects through Zapier's built-in Webhooks by Zapier steps (included in Zapier's paid plans). A listed Zetra app in Zapier's directory isn't published yet.
Before you start
- A Zetra account with an agent. If you haven't built one yet, create a free account and follow the Quick start.
- A Zapier account on a plan that includes Webhooks by Zapier.
- To ask the agent questions from a Zap: a Zetra API key (Settings → API keys in your account) and your Agent ID (Settings → General in your agent).
What you can automate
| Automation | How it works |
|---|---|
| New leads to your CRM or sheet | lead.created starts a Zap that adds the person to HubSpot, Mailchimp, Google Sheets and so on. |
| Escalations to your team chat | ticket.escalated posts a message to Slack or Microsoft Teams with the summary. |
| Draft replies to emails | A new Gmail or Outlook email is sent to your agent; its answer is saved as a draft reply. |
| Suggested answers on tickets | A new Jira or Freshdesk ticket is sent to your agent; its answer is added as a note. |
Send new leads to Zapier
Collect leads with your agent
Open your agent and click Build → Actions → Create action, then Collect leads. Save and turn it on. (The lead form in Playground → Display also creates leads.)
Create a Zap with a Catch Hook
- In Zapier, click Create → Zaps.
- For the trigger, choose Webhooks by Zapier and the event Catch Hook, then click Continue.
- Copy the webhook URL Zapier shows.
Add the webhook in Zetra
In your agent, open Settings → Webhooks, paste the Zapier URL into Endpoint URL, tick
lead.createdand click Add webhook. Then click Send test so Zapier receives an example.Test the trigger in Zapier
Back in Zapier, click Test trigger. You'll see the test lead with fields like
data__nameanddata__email. Every event looks like this:Example lead.created payload{ "event": "lead.created", "createdAt": "2026-09-27T10:15:00.000Z", "data": { "leadId": "cm1a2b3c4d5e6f", "name": "Jane Wanjiku", "email": "[email protected]" } }Add the action
Add an action step, for example Google Sheets → Create Spreadsheet Row. Sign in, choose your sheet, and map the columns to
data__nameanddata__email. Test the step, then click Publish.
Check it works
Leave your details in the chat on your site (or in the Playground). A new row appears in your sheet within a few seconds.
Ask your agent from a Zap
Add a Webhooks by Zapier → Custom Request action to any Zap:
- Method: POST
- URL:
https://zetra.chat/api/v1/agents/YOUR_AGENT_ID/chat - Headers:
Authorization=Bearer YOUR_API_KEY, andContent-Type=application/json - Data: the question, mapped from an earlier step:
{"message": "{{the email body or question from an earlier step}}"}The answer is in message.content in the response. Map it into the next step, for example to create a Gmail draft. The same steps are shown in your agent under Channels → Zapier.
Checking deliveries
Settings → Webhooks lists recent deliveries for each webhook with the response Zapier returned, so you can see whether an event arrived. Each request carries an X-Zetra-Event header with the event name and an X-Zetra-Signature header you can use to verify it came from Zetra.
Events you can use
| Event | Sent when |
|---|---|
| lead.created | A visitor leaves their details through the lead form or the Collect leads action. |
| ticket.created | A Helpdesk ticket is created, from email or when the agent escalates. |
| ticket.escalated | The agent escalated a chat; includes where it was sent (Zendesk, HubSpot and so on). |
| conversation.handed_off | A chat was handed to a live person (for example through Sunshine). |
| conversation.rate_limited | A visitor hit your rate limit (Settings → Security). |
Troubleshooting
Zapier's Test trigger finds nothing
Possible cause: no event has been sent since you created the Catch Hook.
The Custom Request returns 401
Possible cause: the API key is missing, mistyped, or was deleted.
